To all IEEE ICRA-2004 Session Chairs and Speakers

ICRA-2004 has received a record number of more than 1,450 contributed papers that had to be reviewed within a four-week period. The Program Chair, the three regional Program Chairs and the Program Committee had to make a difficult decision recommending a 20-min presentation per paper (including questions and answer period) to accommodate more papers but keeping at the same timethe acceptance rate at about 58-59%.

TIMING

All ICRA-2004 technical sessions will have 5 papers; each session will be 100 minutes long and two chairs will moderate it. Coffee breaks between sessions will last 20 minutes; it is strongly advised that such breaks be used for question-and-answer and for making new contacts between speakers and attendees.

PRESENTATION EQUIPMENT

Each session will have an LCD projector and a laser pointer. Each speaker will need to bring his/her own laptop computer including ppt files.

As a rule, an overhead projector will not be available in each room. IF YOU NEED AN OVERHEAD PROJECTOR, PLEASE LET THE COMMITTEE KNOW AS SOON AS POSSIBLE (contact Local Arrangements Chair at least 72 hours before your presentation).

The session chair will be responsible to keep the session on time, thus notifying each speaker about time limitations. The presentation should be concise and to the point. However, the speakers are encouraged to bring additional materials for discussion with attendees after the session.

To avoid any technical problems and unnecessary delays, it is important that each speaker comes to his/her session 10-15 minutes in advance to check the A/V equipment that will be used. Each speaker should also notify the session chairs of his/her presence.

ICRA-2004 will offer a Speaker Preparation Room where speakers may check presentation materials.
