Final PDF Paper Preparation Instructions
Authors must submit their papers in Portable
Document Format (PDF) format, electronically via
Web upload (follow the link on the bottom
of this page).
Please
follow the instructions closely. Papers failing to meet
the final format requirements may be rejected.

If your paper has a compatibility problem, please make sure
to submit the correct PDF files of your accepted final papers
by March 5, 2004 via Web upload (link
below).
PLEASE also make sure to
use the REVISED Digest Template (MS
Powerpoint, below ) for the paper digest!

1. IEEE is very strict about
the requirements for converting application files or PostScript
files to full-text PDF for inclusion in IEEE Xplore®. Please
follow the detailed instructions in "IEEE
PDF File Preparation Guide for IEEE Xplore" that
describes the essential steps in distilling PDFs that meet the IEEE
requirements.
The most important issue that every author shall
pay attention to is to make sure that all the fonts used
in your papers are EMBEDDED and SUBSETTED, especially for
papers from Asia and Europe. The “IEEE PDF File Preparation
Guide for IEEE Xplore” details the steps for you to check
and to make sure that all fonts used are embedded and subsetted.
Failure to embed and subset fonts is the biggest obstacle to PDF
compliance with IEEE Xplore® and please make sure that your
PDF files are compliant with IEEE Xplore®. Papers failing to
meet the IEEE Xplore® PDF requirements may be rejected.
2. When authors submit their final PDF papers,
the PDF file names must be assigned in the format of “paper#.pdf”.
For example, the PDF file name for paper 12345 must be assigned
as “12345.pdf”.
3. In order to have accurate and consistent information
of the paper title, authors and affiliations in the Final Program
(and thus the Table of Contents of the Conference Proceedings) and
in the final paper PDF file, please update your final paper
information (paper title, authors and affiliations) on the upload
Web site as per the posted instructions when submitting
the final paper PDF files.
4. There will be a conference paper digest
as part of the Conference Final Program. The paper digest must be
prepared and submitted as per the REVISED
Digest Template (below) to achieve
the best and consistent result for the conference paper digest.
The digest MUST be prepared and submitted
in MS PowerPoint (.ppt)!
5. Please complete and submit the IEEE
Copyright Form (below). Put your paper number on the form.
The Copyright Form should be sent in hardcopy to
OmniPress (address on the form):

6. Extra page charge
A total of six (6) camera-ready pages, including figures, are allowed
for each paper. A maximum of two (2) extra pages per paper is permitted
for an extra charge of $180.00 per page.
If your paper has more than six pages, fill out
the Extra Page Charge Payment Form (below) and mail it to Omnipress
(address on the form).
Authors MUST pay extra page charge at the same time when they submit
their final paper, i.e. by February 28, 2004.

On conversion from Postscript to PDF...
Postscript files may be converted to PDF by using
Ghostview/Ghostcript
(free).

MS Word users can convert their papers to PDF by
using http://createpdf.adobe.com.
This is a free service that can convert MS Word to PDF.
LaTeX users please refer to Instructions
on embedding fonts in LaTeX.
There are also several commercially available tools for converting

Papers must be submitted via Web
upload. Follow the link "Ready to submit paper" below
to enter the Web upload system. There you will find detailed instructions
on the submission procedure.
