Managing Attachments in Outlook Express

Outlook Express is installed as a part of Microsoft Windows XP.

Checking Attachment Size:

  • Outlook Express allows users to sort by messages containing attachments. To do this, choose "View" in the top toolbar. Then scroll to "Sort By" in the new menu. This will bring up another menu. Select "Attachment". (image)

  • Messages with attachments will now be at the top of the message window.

  • To make the message file sizes appear in the message window, right click on the darker area of the bar that has "From", "Subject", "Received" listed already. This will bring up another menu in which you will select "Columns" to bring up the next window. (image)

  • Once the new window has appeared, check the "Size" checkbox and click the "Ok" button. The new column will then appear. The size of each message indicates how much space it takes up in your inbox. If a message is larger than 10MB its attachment should be saved to your M: drive; then the message should be deleted. Further instruction for this is available below.

  • To delete messages in Outlook Express first select those you wish to delete by holding the control key; abbreviated "Ctrl" on the keyboard, and clicking on each of the messages. (image) Next, click the "Delete" button to mark all the messages for deletion. Then, click the "Purge" button to remove all the items earlier marked for deletion. (image)

  • Next, delete any unwanted messages and move other messages to mailboxes other than "Inbox". These mailboxes are located on your M: drive. Please click the link for instruction.

Saving Attachments to M drive:

  • Select a message with an attachment to download. The message contents should appear in the viewing pane. Messages with an attachment will have a paperclip on the right side of the window. (image)

  • Alt-click and hold on the paperclip to open a new window. Choose the "Save Attachments..." option. (image)

  • Clicking on "Save Attachments..." will open a new window asking which attachments to save and where to save them. Make sure to save the attachment(s) somewhere on your M: drive where you will be able to find them later. (image)

  • Finally, click the "Save" button and your file will be copied to the desired location. You may now safely delete the message from your mailbox.
